ℹ️ INFORMATION TOBY COLLECTS
toby requests different types of Personal Information from You or others, depending on the toby Services You use. toby may collect the following categories of information, depending on the toby Services that You use:
Registration Data: When you log into toby Services using your email account, we will ask permission to access basic information from that account, such as your name and email address. You can stop sharing that information with us at any time by removing toby’s access to that account. We may also collect other direct identifiers when You register with toby, such as your phone number, usernames and passwords, IP address of Your work station, and other information that enables us to contact You.
Professional and Employment-Related Information: This includes Your company name, Your title, role, team, and other information about Your profession.
Email Calendar Information: toby Services may integrate with Your corporate email calendar (e.g., Gmail or Microsoft Outlook) and collect data regarding Your seating choices and the conference rooms You book, including calendar metadata; toby do not collect or otherwise have access to information contained on Your calendar.
Billing Information: When you purchase any toby Services, we will collect your payment card information and billing address. We will use this information for payment authentication and processing for your future transactions. toby does not store credit card information.
Voice Recordings: Using toby Services involves processing audio from meetings to translate languages live. For seamless service across devices, toby may retain certain information. toby does not retain audio and video of any other individual in the recorded meeting.
Automatically Collected Information: Certain data about the devices you use to connect with toby Services and your use of the website, software, and/or Services are automatically logged in our systems. This includes:
- Device Identifiers, such as IP address for bug reporting and data analytic purposes.
- Log and Usage Data. our servers automatically collect usage and performance data when you access or use toby Services and which we record in log files. Log data may include IP address, browser type and settings, date and time of use, information about browser configuration, language preferences, and cookie data. Usage data includes information about Your online activity including information collected through the use of standard internet technologies, such as cookies, logs, and other internet technologies, as further set forth in our Do We Use Cookies section; and
- Information Collected from Third-Party Vendors. We may use third-party vendors, including Google, to serve ads to you when you access toby Services. Third-party vendors use cookies to serve ads based on your prior visits to toby sites or to other websites as further set forth in our Do we Use Cookies section;
- Information Collected from Third-Party Integrations. If you choose to connect toby Services to a third-party online communication platform (e.g Zoom, Teams, Slack, Google Meet, Microsoft Calendar, etc.), such third parties may allow us to have access to and store information about your interaction with those services as it relates to your use of our toby Services.
Anonymous, Aggregated, and Other Information Collected: In addition, toby collects and/or generates anonymized and aggregated information from Your use of the toby Services to better understand and optimize our toby Services. toby may use anonymized and aggregated information in various ways, including to measure Your interest in and use of portions or features of the toby Services. Anonymized or aggregated information may not identify You as an individual, thus is not Personal Information as defined in this Privacy Policy.

- When You register online to use our toby Services and during Your use of our toby Services when you enable the toby Services.

🔈 ACCESS TO AUDIO RECORDINGS
Generally, toby does not monitor or view your recordings stored in or transferred through our toby Services, except where we believe the Terms of Service have been violated and confirmation is required; if we need to do so to respond to your requests for support; if we otherwise determine that we have an obligation to access Your recordings or to improve our algorithms as described in the Terms of Service. Finally, Your recordings may be accessed by us where we deem it is necessary to protect the rights, property, or personal safety of toby and its users, or to comply with our legal obligations, such as responding to warrants, court orders, or other legal processes.
💬 SHARING OF PERSONAL INFORMATION
toby discloses Your Personal Information in limited circumstances to toby’s affiliates, our service providers, in order to provide our toby Services and to improve your online meeting presence. Where required by applicable law, toby will only share Your Personal Information for this very limited purpose.
- Provide You with toby Services, for example, to set up and maintain your account, to process payments and orders, to verify user information, including to recording and providing analysis of Your audio and video presence during online video meetings;
- Respond to or fulfill customer service requests;

- Contact You about our toby Services, for example, to provide you with notices about your account and/or subscription, including expiration and renewal notices, email-instructions, etc., and otherwise to communicate with You;

- Comply with our legal obligations and enforce our legal rights, such as, among other things, to exercise contractual rights, to comply with financial reporting obligations, court orders, warrants, or subpoenas in accordance with applicable law.
🌎 SHARING YOUR PERSONAL DATA INTERNATIONALLY
Since toby is a company with a principal place of business in the United States, any Personal Information that we collect in and through the toby Services for the purposes outlined above may be transferred to, stored on servers in, and accessed from the United States and countries other than the country in which the Personal Information was initially collected. Laws in these countries may differ from the laws applicable to your country of residence. By using the toby Services you agree to your Personal Information being transferred outside your original territory and subject to the terms in this Privacy Policy.
